This quick guide answers frequently asked questions about placing and managing orders in VieCure. It covers ordering labs (including STAT and MDL / precision oncology tests), favorites, the Order Summary, voiding versus discontinuing orders, and how visit types can be added automatically when a drug is ordered.
How do I place orders for labs?
- Open the patient's chart and go to Orders.
- Find the lab by using the search bar (it always searches the full order catalog) or by choosing the Labs category or your favorites.
- Select the lab item. Selected items are counted across favorites and searches.
- Review the item details (for example Priority, target date and destination) and add any comments.
- Review the Order Summary, make sure the Ordering Provider and Order Method are correct, and click Place Order.
- Add to Plan — Labs can be added to the patient's treatment plan from the Order Summary. For recurring orders, this option is only available for labs.
- Duplicates — A duplicate flag appears when the same test is already ordered for the same target date.
- Non-providers — Users who are not providers choose the Ordering Provider and Order Method before placing the order.
How do I place an order for a stat lab?
Lab orders are placed from the Orders screen the same way as any other lab (see "How do I place orders for labs?"). The lab item details form includes a Priority dropdown, which is where the urgency of the lab is set.
How do I add an order item to my favorites in the Orders screen?
- In Orders, find the item using global search, or open a category and check Show all [category] (for example, Show all Imaging) and search.
- Hover over the item's tile to reveal the star icon (tooltip: Add to favorites).
- Click the star to add the item to your favorites. Click again to remove it.
- This works the same in every category (Labs, Imaging, Medication/DME and so on).
- You can change a favorite's details from the Edit Favorite screen. Favorites are personal to your user.
- To remove a favorite from the order form, use the X on the favorite.
How can I void an order? Who can void an order?
- Open the patient's Order History (list view).
- Hover over the order and click the Void icon (shown next to the fax and print icons).
- Select a reason: Data entry error, User Error or Duplicate Entry. The confirm button stays disabled until a reason is selected.
- Confirm. The order status changes to Voided (red).
- Who — Only the user who approved or entered the order can void it. For everyone else the icon is disabled or hidden.
- Cannot undo — Orders that are already voided or discontinued cannot be voided.
- Reason on hover — Hovering over the Voided badge in Order History shows the reason.
- Scheduled visits — If a scheduled visit was linked to the voided order, it is shown as dark grey "Voided [Visit Name]" and a task is created in the Worklist to review and cancel the appointment. Cancelling the appointment closes the task.
- E-prescriptions — Voiding an e-prescribed order is intended to send a cancel message to the pharmacy (see "I sent an e-prescription to CVS and it was incorrect, how do I cancel the order so the pharmacy knows not to fill it?").
- Plan orders — Void and Discontinue are removed from Order History for plan orders. Items on a treatment plan flowsheet are voided from Edit Row, which applies immediately with no undo, and non-providers must choose an Ordering Provider and Order Method.
How can I discontinue an order? What does that mean vs voiding an order?
Discontinue stops an order that was valid but is no longer needed. Void corrects an order that should not have existed (data entry error, user error, duplicate).
- Open the patient's Order History and open the order's detail view.
- Select the item(s) to stop. You can pick one item, several items with the checkboxes, or the whole order.
- Click Discontinue and choose a reason (for example: Patient Choice, Disease Progression, Toxicities, Schedule Adjustment, Insurance / Coverage Issue, Allergic Response). Other requires a comment.
- Confirm. The item status changes to Discontinued.
- Who — Any user with Orders access can discontinue. Void is limited to the user who approved or entered the order.
- Where — Discontinue is in the order detail view; Void is the hover icon on the list.
- Not eligible — Items that are Completed or Discontinued cannot be discontinued and are visually marked. Items on Hold or Delay can be discontinued.
- Hover — The Discontinued badge shows the reason when you hover over it.
Orders – How do I access the cart through “Order Summary” after adding items?
Items you select in Orders are collected on the Order Summary, which acts as the cart. Labs, imaging, medications and other items appear there where you can edit the target date, destination and diagnosis, review warnings, add to plan, save for later, cancel, or click Place Order.
- Order Summary also provides View Order History, Ordering Provider and Order Method.
- Items saved for later stay as drafts on the Order Summary until they are placed or cancelled.
Visit Type - what does the "Default Intervention Type" do, and how does it impact the ability to automatically drop a visit type where a particular item is ordered?
In System Config > Visit Type, a visit type can be given a Default Intervention Type. When a drug with that intervention type is ordered, the matching visit is added automatically.
- One-to-one — An intervention type can be the default for only one visit type. Assigning one already in use is rejected with an error.
- Order form — When such a drug is added to a patient's order form, the visit is added with the same target date as the drug. Drugs scheduled for the same date are grouped under one visit, while drugs scheduled for different dates have separate visits.
- Changing the date — Changing a drug's target date moves the visit. If the visit is voided, you must reconcile it manually.
- Manual removal — Removing an auto-added visit from the order form prevents it from being automatically added again for that patient and date.
- Treatment plan — When a drug is added to an existing plan phase, the visit is added to that phase (no duplicate if it is already there).
- Limits — On treatment plans, drugs included when the plan is first created are not covered, and discontinuing or voiding the drug does not remove the visit. No visit is added if no visit type matches.
I sent an e-prescription to CVS and it was incorrect, how do I cancel the order so the pharmacy will not fill it?
Void or discontinue the order from Order History (see "How can I void an order? Who can void an order?" and "How can I discontinue an order? What does that mean vs voiding an order?"). The intended behavior is that VieCure sends a cancel message to the pharmacy that received the prescription when you confirm.
- For take-at-home medications on a treatment plan, discontinuing a row also sends a pharmacy cancellation if the prescription has not yet been dispensed or partially dispensed.
- If the pharmacy rejects the cancel because the medication was already dispensed, the case goes to the ePrescribe work queue.
An imaging center says the patient arrived for a test and has no order - how do I resolve it?
First check Order History to see whether the imaging order was placed or is still a draft or saved for later on the Order Summary. An imaging order cannot be placed without a destination, and it only goes out when Place Order is clicked.
- If the order exists, confirm the destination is correct and use the fax or print icons in Order History to resend it to the imaging center.
- If the order was voided or discontinued, it will show that status with a reason when you hover over the badge.
- If no order exists, place the imaging order from Orders and click Place Order.
How do I order, track and receive results for MDL / precision oncology tests?
- In Orders, select the MDL test from favorites or by search. It appears in the Lab section of the Order Summary.
- Check the target date (defaults to today; cannot be in the past) and diagnosis. A red Order Details Missing message shows until the required questions and attestation are done.
- Select the test to open its order form and complete the required questions, then click Add to Order. Place Order becomes available.
- After the order is placed, a Worklist task is created. Choose Review on the task to open the detailed MDL order form.
- Complete each section until all show green, then click Submit. Use Save as draft to finish later.
- Form sections — Patient, Provider, Billing Info and Additional Documents (up to 3 documents), plus Diagnosis & Staging, Specimen Retrieval or Clinical/Family History when they apply.
- Missing information — Patient details come from the chart and provider details from the provider/facility configuration, so missing data must be fixed there.
- Duplicates — A flag reads "Duplicate detected for this target date".
