This quick guide answers frequently asked questions about how VieCure exchanges information with your Practice Management System (PMS). It covers what is sent and received, and how charges reach the PMS.
Integration with PMS - what is updated and when?
VieCure exchanges standard messages with your PMS. What is connected depends on your practice's setup.
- Patient and insurance updates in — ADT messages from the PMS bring in patient information, including new or updated insurance plans. A new or changed plan creates a "New Insurance Plan — Coverage & Auth Review" worklist task for the Financial Team. If a plan name is not configured in VieCure, a task is also sent to an administrator. Plan names must match the PMS exactly.
- Appointments out — When an appointment is created or modified, VieCure sends the appointment to the connected system as an SIU message. Its Scheduling ID is included later with the charges.
- Charges out — Charges are sent as DFT messages when posted.
- Charges in — Some practices receive charges from a pharmacy or other vendor system into VieCure.
How do charges get passed to the Practice Management System?
Charges move through VieCure's integration engine to your PMS.
- Billing staff review, sign and apply Final Sign to an encounter on Charge Details; it becomes Ready.
- Ready encounters are sent in the scheduled batch, or immediately when billing selects them on Encounter Details and clicks Submit.
- When the PMS accepts them, the encounter shows Submitted. If sending fails, the encounter stays Ready and can be retried.
Each charge includes the billing code, quantity, diagnoses, responsible provider, insurance and, for drugs, the NDC. The Scheduling ID is included when one exists. Non-billable items are sent as a $0.01 charge. In Progress encounters are never sent.
