This quick guide covers how to manage and edit Patient Demographics in VieCure . It includes updating a patient's Profile, Insurance, Patient Mobile settings, Pharmacy, Facility, Providers, Indicators, Guarantors, HIPAA Form, Group, Patient ID Editor, Amendments, and Biometrics. It walks through adding a patient photo, adding additional Patient IDs, updating basic demographics, Patient Indicators, Patient Settings, Preferred Pharmacy, Primary Facility, Patient Providers, Patient Groups, Insurance updates, PMS integration feeds, Financial Review, HIPAA form uploads, and Patient Guarantors.
Patient Photo
- Click the patient avatar in the upper-left of the Patient Chart to Upload Photo, Capture Photo, Remove Photo, or Opt Out.
Tip: Uploading a new photo automatically clears any opted-out status.
Patient Profile
- Edit name, date of birth, gender, race, ethnicity, address, phone, email, and preferred language, then click Save.
- New Entry in the Address section adds a Primary or Previous address.
- Test Patient and Chart Locked are manual flags.
- Restricted Access requires every user to enter a password and reason to open the chart; access lasts 24 hours per user, and every event is logged.
Tip: Restricted Access is the only field on this tab that auto-saves the moment you check it. Everything else is lost if you navigate away without clicking Save.
Insurance Tab
- + Add Insurance → select Company and Rank, enter Policy/Group numbers, and set coverage by service type (Office Visit, Chemo/Infusion, Specialty Pharmacy, Labs, Imaging, Radiation, Surgery, DME, Blood Products). Enter Policy Holder info or check Same As Patient.
Tip: Insurance plans typically feed in from your Practice Management System via interface. Editing it in VieCure won't correct the source. Please fix it in the PMS first, or your change gets overwritten the next time it syncs.
Patient Mobile Tab
- Click Send Invite to register the patient for VieCure Patient Mobile.
- Check Patient declines participating if they opt out.
- Shared Health Access shows family/caregiver access to the patient granted in the app.
- Notification Preferences and Patient Forms require an active Patient Mobile account before they can be configured.
Tip: There's no email field on the Patient Mobile tab. Please add the patient's email on the Profile tab first. Until it's there, Send Invite has nothing to send to.
Pharmacy Tab
- + Add Pharmacy → Name (required), address, phone, fax, NCPDP ID; check Preferred if this is the patient's preferred pharmacy.
Tip: A pharmacy must be on file before take-at-home medication orders can be placed. If that order type is greyed out, this is the first place to check.
Facility Tab
- + Add Facility → search by name → select → Done.
Tip: Adding a facility doesn't make it Primary automatically. If a patient has more than one facility on file, select the radio button in the Primary column for the one that should lead.
Providers Tab
- + Add Provider → search name/NPI (3+ characters) → select Role (required) → check Referral if applicable → Save.
Tip: If one provider holds multiple roles for a patient (Referring Provider and Medical Oncologist), each role needs its own entry; you can't multi-select roles on a single row.
Indicator Tab
- Check/uncheck indicators across Advance Directives, Safety, Clinical, Financial, and Other Attributes (Living Will, Fall Risk, Hospice, Port, Medicare/Medicaid), then click Save.
Tip: One Save button covers the whole page. You can check indicators across all five categories, but if you navigate away before clicking Save, every checkbox you set reverts.
Guarantors Tab
- + Add Guarantor → relationship, name, DOB, sex, address, contact info → Save.
Tip: The trash icon doesn't delete the guarantor; it deactivates them. The record stays on file (and reversible) rather than disappearing.
HIPPA Form Tab
- Select HIPAA → Upload HIPAA to attach a signed document or complete the on-screen HIPAA Privacy Authorization Form → Save. Print is available for a hard copy.
Tip: Select HIPAA only stages the file. It isn't attached until you click Upload HIPAA. Clicking Save without uploading first won't save the document itself.
Group Tab
- + Add Group → select a System Group from the dropdown → Save. Groups can control provider access in patient search.
Tip: There's no separate delete button to remove a patient from a group. Click + Add Group again to re-enter edit mode, remove the group there, then Save.
Patient ID Editor Tab
- The PMS/PID # is system-generated. + Add Patient ID → choose ID Type → enter ID Value → Save.
Tip: External IDs like MRN or FAN usually originate from the PMS via interface. If one's missing or wrong, check the PMS feed before adding it manually here.
Amendments Tab
- + Add Amendment Request → Source (Patient/Provider, required), Subject (required), Requested Date (required), Days to Respond, Comments (required) → Status: None / Accepted / Denied.
Tip: Status defaults to None and doesn't update itself. Even after you enter a Completed Date and Patient Notified Date, the request still shows as open until you manually set Status to Accepted or Denied.
Biometrics Tab
- + → Initiate Scan → center patient's face → Scan Patient → Yes: Register Face.
Tip: There's no separate step to edit a bad scan. If the registration doesn't look right, just run Initiate Scan again to overwrite it.
