This quick guide covers front desk check-in and check-out in VieCure. It includes verifying patient identity on the Clinic Schedule, checking a patient in as Arrived, setting their room or chair location, and opening their chart. From Demographics, it covers confirming Insurance and Copay against the Practice Management System, completing HIPAA paperwork, and taking a patient photo, plus confirming Advance Directives under Patient History. It also covers reviewing unscheduled appointments, scheduling follow-up and lab visits, and confirming the patient's next appointment before they leave.
Checking In a Patient: Clinic Schedule
- Verify Identity: Find the patient's row on the Clinic Schedule for today's date. Confirm the name and date of birth shown match the patient in front of you.
- Multiple Appointments: If the patient has more than one appointment today, select the chevron on the left of their row to expand and see all appointments.
- Check In: Select the purple Check In button on the right side of the patient's row. If they have one appointment, it checks in immediately. If they have more than one, a pop-up lets you choose that specific appointment or check in all of them. Checked-in appointments move to Arrived status.
Tip: The chevron only expands the row to show multiple appointments; it doesn't check anyone in. To move a patient to an Arrived status, select the purple Check In button on the row.
Set the Patient’s Location (Room/Chair)[MK2]
- Placeholder: This used to be set from the global location indicator. It looks like this is moving to the patient banner instead.
Open the Patient’s Chart
- Use the search bar at the top of the screen to find and open the patient's chart for the rest of check-in.
There's no hyperlink yet from the Clinic Schedule row into the chart.
Confirm Demographics, Insurance & Copay
- In the patient's Demographics, confirm date of birth, name, address, insurance information, and any copay due against the Practice Management System (PMS), the source of truth for this information.
Tip: The values shown in Demographics sync from the PMS. If something's wrong, correct it at the PMS source, not in VieCure directly.
Complete HIPAA Paperwork
- While you're still in Demographics, open the HIPAA Form tab to complete any new or updated forms.
Tip: HIPAA Form is a tab inside Demographics. Handle it right after Insurance and Copay,[EM3] so you're not clicking back into Demographics a second time.
Confirm Advance Directives
- Select Patient History in the left-side navigation, then open the Advance Directives tab and confirm its current.
Tip: Advance Directives lives under Patient History, not Demographics, so look there first if you can't find it.
Take the Patient's Photo
- If needed, select the patient photo icon in the top left of the chart, then upload the photo.
Checking Out a Patient
- Verify Identity: Confirm the patient's name and date of birth, then use the search bar to open their chart, same as check-in.
- Review Unscheduled Appointments: View the Patient Schedule for any outstanding, unscheduled visits.
- Schedule Follow-Up or Lab Visits: Book any needed follow-up or lab visits.
- Confirm with the Patient: Make sure they understand their next appointment(s) before they leave. Offer a reminder card or printout if there's more than one.
