This quick guide covers front desk check-in and check-out workflows in VieCure. Check-in starts on the Clinic Schedule (verify identity, then route the patient in as Arrived), then continues in their chart (advance directives, HIPAA paperwork, and photo). Demographics, Insurance, and Copay are confirmed in the Practice Management System. Check-out covers reviewing unscheduled appointments, scheduling follow-up and lab visits, and confirming the patient's next appointment before they leave.
Checking In a Patient
- Verify Identity: Locate the patient's row on the Clinic Schedule for today's date. Confirm the name and date of birth shown under their name match the patient in front of you.
- Multiple Visits Today: If the patient has more than one visit today, select the chevron on the left of their row to expand and see all of them.
- Route Patient: Select the purple Check In button on the patient's row (not the chevron). If they have only one appointment today, it checks in immediately. If they have more than one, choose Check In This Appointment or Check In All from the popup window. Checked-in appointments move to Arrived status.
There's no hyperlink from the row to the patient's chart yet, and no in-row check-in details window — that's why the next step uses the search bar.
- Open the Patient's Chart: Use the search bar to find and open the patient's chart for the remaining steps.
Verify Demographics, Insurance & Copay: This is not a step completed in the VieCure platform — users must check this in the Practice Management System as the source of truth (will synch details with VieCure through a patient record integration). — confirm Date of Birth, name, address, insurance information, and any copay due are correct in the Practice Management System.
- Verify Advance Directives: Select Patient History in the left-side nav, then open the Advance Directives accordion and confirm it's current.
- Complete Business Paperwork: Select Demographics in the left-side nav, then open the HIPAA Form accordion to complete any new or updated forms.
- Take Patient Photo: If needed, select the patient photo icon, then upload the photo once it's been taken.
Checking Out a Patient
- Verify Identity: Confirm the patient's name and date of birth, then open their chart.
Same as check-in: no chart hyperlink yet, so use the search bar to open it.
- Review Unscheduled Appointments: View the Patient Schedule for any outstanding, unscheduled visits.
- Schedule Follow-Up / Lab Appointments: Book any needed follow-up or lab visits. Infusion sets are scheduled by the nurse; assist only if asked.
Confirm With the Patient: Make sure the patient understands their next appointment(s) before they leave. Offer a reminder card or printout for multiple appointments
