Demographics
The Demographics page is a tool within the VCP application that is used to give providers an overview of a patient’s personal details, including insurance carriers and pharmacy preferences.
Patient Mobile Registration
From this menu, the User can register the patient for the VieCure Patient Mobile.
- Locate a patient using the patient search.
- Navigate to the “VieCure Patient Mobile” purple header within the Patient Demographics page.
- Enter the patient's email and click "Send Invite."
- Please refer to the "VieCure Patient Mobile Overview" knowledge articles to go through the registration process.
Uploading a Patient Photo
The Photo Editor menu is used to upload or change a patient photo.
- Locate a patient using the patient search.
- Navigate to the “Photo Editor” purple header within the Patient Demographics page.
- Select the blue UPLOAD PHOTO icon.
- Choose a photo to upload.
- Select “Open.”
- Click on the file to save it to the patient.
Adding or Editing Patient IDs
This menu can be utilized to change, add, or delete a Patient ID for a Patient within the VieCure Platform.
- Locate a patient using the patient search.
- Navigate to the “Patient ID Editor” purple header within the Patient Demographics page.
- To add a Patient ID, select the blue “+” icon within the Patient ID Editor purple menu header, choose an ID Type, and enter a corresponding ID Value.
- To change a Patient ID, navigate to an existing ID, make necessary changes to ID Type and ID Value.
Where Patient IDs (MRN/FAN) Numbers Come From
Internal Patient IDs are incremental in VieCure databases, the database IDs are tied to everything throughout the platform, this is the number seen in the website URL when accessing a patient in VieCure. Other IDs, such as MRN or FAN numbers are configured to be the "primary" ID that displays on the patient tiles, and generally come from the clinic's practice management system through interface. The patient ID section can hold various ID types, and can have unlimited ID numbers stored.
Adding Patient Demographic Information
In this menu, the User can enter and view any demographic information about the patient such as name, date of birth, address, phone number, emergency contact, etc.
- Locate a patient using the patient search.
- Navigate to the “Demographics” purple header within the Patient Demographics page.
- Enter/update information accordingly.
- Select the blue “Save” icon.
Adding Patient Indicators
Patient Indicators can be chosen for each patient within the VieCure Platform. Indicators help providers attain a better understanding of their patient. There are several types of patient indicators including clinical, financial, and safety indicators.
- Locate a patient using the patient search.
- Navigate to the “Patient Indicators” purple header within the Patient Demographics page.
- Toggle on/off any indicators that are pertinent to the treatment of that patient.
Reviewing the Patient’s Pharmacy
The Pharmacy menu is where Users can enter, store, and remove information on the pharmacies utilized by a patient. This menu is especially useful when prescribing/ordering/dispensing take-at-home medications, as you will not be able to place orders on take-at-home medications without first selecting a pharmacy.
- Locate a patient using the patient search.
- Navigate to the “Pharmacy” purple header within the Patient Demographics page.
- View current pharmacies.
Adding a Pharmacy
- Locate a patient using the patient search.
- Navigate to the “Pharmacy” purple header within the Patient Demographics page.
- Select the blue “+” icon within the “Pharmacy” menu header.
- Search for, and select a pharmacy.
- Select “Save.”
- To set pharmacy as “preferred,” toggle on PREFERED PHARMACY.
Removing a Pharmacy
- Locate a patient using the patient search.
- Navigate to the “Pharmacy” purple header within the Patient Demographics page.
- Navigate to the pharmacy you wish to remove and select the grey “X” icon to the left of the Pharmacy name.
Patient Primary Facility
This menu is used to view the facilities that are saved for a patient. If a patient facility has already been selected, it will appear here.
- Locate a patient using the patient search.
- Navigate to the “Patient Primary Facility” purple header within the Patient Demographics page.
- Select the blue “+” icon to add a primary facility.
- Choose a facility name from the list of facilities in the Patient Facility modal.
- If default facility, toggle “IS DEFAULT” to the right of the facility name.
Patient Providers
The Patient Providers menu allows the user to assign Providers to a specific patient. Users can also use this section to view the referring physician and referral date.
- Locate a patient using the patient search.
- Navigate to the “Patient Providers” purple header within the Patient Demographics page.
- View current Providers.
If a provider has multiple roles for a patient (e.g., Referring Provider and Primary Care Physician), each role must be added individually and will be shown separately in the patient’s provider section, with the provider’s name clearly listed under each role.
Adding Patient Providers
- Locate a patient using the patient search.
- Navigate to the “Patient Providers” purple header within the Patient Demographics page.
- Select the blue “+” icon to add a Provider.
- To search for an existing Provider, begin typing (at least 3 characters), and choose a Provider from the search results that populate below.
- Select a Role for the new Provider (required field), in addition to filling out any other Provider details.
- Select save.
Patient Groups
This menu allows users to assign patients in the VieCure Platform to Patient Groups. Patient Groups is a tool that can be utilized by healthcare providers to uniquely organize and group patients together. Patient Groups is also a helpful tool for preventing Provider’s access to the wrong patients from the search window. From an efficiency standpoint, Patient Groups helps enhance clinical workflow by allowing the User to customize how they access and view their patients.
- Locate a patient using the patient search.
- Navigate to the “Patient Groups” purple header within the Patient Demographics page.
- To add a patient to a Patient Group:
- Select the blue “+” icon within the Patient Groups purple menu header.
- Select a Patient Group from the dropdown menu.
- A date added will populate after a selection is made.
- To remove a patient from a patient group, select the blue “X” to the left of the Group name.
View Insurance Plans
Insurance Plans with both Primary and Secondary designations will be stored in the Insurance menu section.
- Locate a patient using the patient search.
- Navigate to the “Insurance” purple header within the Patient Demographics page.
- View current Insurance Plans.
Review Patient Insurance Plans
Patient's insurance plans most often come from what is entered in the practice management system (PMS). To review the patient's insurance, follow the steps below:
- Locate a patient using the patient search.
- Navigate to the “Insurance” row within the Patient Demographics page.
- Click on the row to expand. The patient's insurance will be listed here. In addition to the plan information, you will also note that the source in which the plan information is originating from is also listed. Any updates needed to be made to the patient's insurance should be done in the originating source- often the practice management system (Unlimited, Advanced MD, Meditech, etc.).
Biometrics Registration
Biometrics is a tool within the VCP Application that allows clinicians to automate recognition of patients by means of facial characteristics. This is a particularly useful tool that makes checking in a patient more efficient, while also adding an extra security component to our environment.
- Locate a patient using the patient search.
- Navigate to the “Biometrics Registration” purple header within the Patient Demographics page.
- Select the blue “+” icon in the “Biometrics Registration” menu header.
- Select INITIATE SCAN
- Point camera towards patient’s face, and center on screen.
- Select “Scan Patient.”
- Select YES: REGISTER FACE
HIPAA Form
The last section on the Demographics page is the HIPAA Form. Within this menu, Users can upload any relevant HIPAA Documents, as well as fill out a HIPAA Privacy Authorization Form directly from the page.
- Locate a patient using the patient search.
- Navigate to the “HIPAA FORM” purple header within the Patient Demographics page.
- To upload a document:
- Select “+ Select HIPAA.”
- Find the file you wish to upload.
- Select “Upload.”
- Select “Upload HIPAA.”
- To fill out a HIPAA Privacy Authorization Form:
- Using the form on the HIPAA Form section, fill out all required fields.
- Select “SAVE.”
- To print, select “PRINT.”
Patient Guarantors
In this menu, VieCure Users will be able to add, edit, or remove any person(s) responsible for the payment of medical services.
- Locate a patient using the patient search.
- Navigate to the “Patient Guarantors” purple header within the Patient Demographics page.
- To add a guarantor:
- Select “+ Add Guarantor.”
- Fill out the required fields.
- Select “Save.”
- Select “+ Add Guarantor.”
- To edit a guarantor:
- Select the blue pencil icon within the GUARANTOR INFORMATION window.
- Select “Save.”
- To remove a guarantor:
- Select the red trashcan icon within the GUARANTOR INFORMATION window.
- Select “DEACTIVATE GUARANTOR.”
